Export Documentation Specialist at Schnitzer Steel Industries, Inc. in Morristown, New Jersey

Job Description:

Integral in assisting with proper procedures and implementation of processes associated with the Metals Recycling Business (MRB) export container activities. Position requires mastery of container freight functions including: timely bookings; proper issuance of Bills of Lading; timely payment of freight; release of Bills of Lading and tracking of ETA disport to ensure proper funds are collected per payment terms.  Incumbent will learn all aspects of the logistics department and must comprehend the importance of timely actions and the role of logistics in the sales environments. The Incumbent is also responsible for understanding demurrage and detention costs related to export containers.


 



Internal Control Responsibilities:



Support Internal Control process which includes understanding, communicating, complying with defined internal controls as well as suggesting and making modifications to the policies, procedures and controls to better match the business.  Communicate upward problems in operations, noncompliance with the code of conduct, or other policy violations or illegal actions.



Job Scope:



In addition to full understanding of container logistics functions, Incumbent must be proactive in managing the process, seeking efficiencies, and troubleshooting issues originating from the sales team and customers.  Must be able to understand their role in a big picture sense and display interest in accepting additional responsibilities as they arise. Work is performed independent of direct supervision, but a team approach will be maintained to assure communication amongst all interested parties.



Essential Functions:



  • Ensure Sales Files for all new orders are properly set up, to include a review that the below items are received in good order:


    • Signed Contracts

    • Deposits

    • Shipping Instructions

    • Bookings 


  • Prepare Shipment Advices for each shipment for AES filing.

  • Review B/L instructions:


    • Check B/L Proofs

    • Have Customer review and approve B/L

    • Arrange with Forwarder to issue Originals or Telex Release


  • Prepare Export Documentation, including Invoices, Packing Lists, Certificate of Origin, Inspection Certificates, and other supporting documents based on the customer requirements and payment terms.

  • Follow up on final Invoices, Payments, and Cargo Releases.

  • Create, Update and Analyze reports to ensure timely response to daily activities, to supply others in the group with valid data, and to drive the process of timely order fulfillment.


Secondary Functions:



  • Arrange Bookings with Steamship Lines and Freight Forwarders.

  • Apply for third party Inspections, as necessary (CCIC/DGFT).

  • Review, Approve and Submit Freight Invoices for payment.




Marginal Functions:





  • Communication and Coordination with Customers, Freight Forwarders, Steamship Lines, and Inspection Agencies.

  • Internal Communication with Sales and Regional Shipment Coordinators.

  • Maintaining freight rate matrix.

  • Special Projects, as assigned.




Physical Activities Required to Perform Essential Functions:



 


Ability to: lift and carry up to 10 pounds occasionally; sit for extended periods of time, up to 6-8 hours per day; write by hand and keyboard for extended periods of time, up to 6-8 hours per day; assemble papers, paper punch, staple, file; apply sufficient force to open and close file drawers. Ability to communicate by speech and hearing continuously. Communication is primarily by phone and e-mail, and sometimes in person, with other departments within the Schnitzer Group. Visual acuity needed for close detail work, preparing and analyzing data figures, accounting, and computer use.



 
Interpersonal Contacts:



Internal contacts include managerial and executive level personnel within the Metals Recycling Business and Schnitzer Steel Industries to accomplish sale and transport of scrap metal. External contacts include customers, steamship lines, freight forwarders, inspection companies, etc. concerning sales, logistics, and related inquiries.



Job Conditions:



Average office environment. May be required to work irregular hours during periods of heavy workload or to meet deadlines. May be required to work non-standard work hours or work week.



Qualifications:



  • Detail oriented, good with numbers and text, able to proof read work to avoid simple typographical errors.

  • Excellent organizational skills.

  • Ability to learn quickly, disseminate information timely and accurately and to work under pressure.

  • Fluent in Microsoft Excel, Word, and Outlook.

  • Desire to learn the container logistics functions.

  • Heavy exposure to documentation is required.




Desirable skills:





  • Prior experience with container logistics.

  • Prior experience with export documentation

  • Prior experience in the Metals Recycling Business.
