Reporting to our Executive Director, our Administrative Assistant will be responsible for a variety of administrative and clerical tasks important to running an effective day to day operation of St. Vincent de Paul. The duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs and managing our companys general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office.
JOB DUTIES:
Help in the scheduling of and preparation for meetingsWrite and distribute email, correspondence memos, letters, faxes and formsAnswer telephones and give information to callers, take messages, or transfer calls to appropriate individualsSchedule and confirm appointments and maintain scheduling and event calendarsOpen, read, and distribute incoming mail or other materials and answer routine lettersReview work done by others to check for correct spelling and grammar and recommend revisionsAssist in the administrative onboarding and off-boarding of employeesManage Virtus training and compliance among SVDP employeesAssist with vendor partner relationships, providing necessary tax-exempt documentation and updates to vendor partners as business needs evolveDevelop and maintain filing system, electronically and on paperUpdate and maintain office policies and procedures including drafting and editing user manualsOrder office supplies and research new deals and suppliersMaintain office systems, such as time clocks, postage machine, copier and other technologyTrack and maintain database of all technology used by employees including computers, printers, and cell phonesAssist with website and SharePoint maintenanceInput and reconcile expenses for the corporate credit card
