Job Description:

IT Financial and Intake Coordinator


The IT Financial and Intake Coordinator role is responsible for meticulously facilitating the IT organization budget process and aiding in maintaining alignment with project costs and purchases made against the budget and the report out of this information to leadership.  This includes IT Resource tracking, purchase/invoice processing, monitoring new initiatives and enhancement requests and other administration duties.  You will work closely with our IT and project team leaders, the finance / accounting team members, and our IT vendors.  


 


Responsibilities:



  • Create, update, and maintain IT Organization budgets spreadsheets along with project budgets and resource hours tracking, plus related project costs and invoices. (Includes – IT Labor, OpEx, CapEx, and project budgets).

  • Reconcile IT Organization budget to project budgets along with researching and reporting out variances.

  • Oversee IT time tracking software maintaining accuracy and related reporting. 

  • Processing and reporting on vendor invoices and expenses related to IT initiatives, and properly allocating them to related accounting codes.

  • Preparation for financial review meetings and follow up communication with accounting / finance team members. 

  • Managing the IT purchase requisition process from start to end.   

  • Organizing IT documents within tools (Such as Microsoft SharePoint / Teams / Smartsheets)

  • Managing IT Vendor documentation such as MSA.

  • Support infrastructure team with mobile phone charges, IT equipment stock, and circuit closures.

  • Preparing presentations, spreadsheets, and reports for IT-related matters.

  • Lead the IT Intake process as newly suggested projects and enhancements get reviewed. 

  • Communicate with internal resources at various levels of the organization and third-party vendors.

  • Assist in the creation and implementation of standard operating procedures and related documentation.

  • Other duties as assigned.


 


Basic Qualifications:



  • Bachelor’s degree or higher or equivalent work experience.

  • 3+ years of experience in an administrative or coordinator role preferably related to IT or Accounting

  • Advanced knowledge of MS Excel required (Formulas, lookups, pivot tables, graphs).

  • Proficient in other MS Office apps (PowerPoint, Word, Teams, SharePoint).

  • Technologically savvy. Enjoys learning new applications and skills.  

  • Solid organizational skills and attention to detail. 

  • Strong analytical and problem-solving skills. 

  • Ability to work with teams as well as independently.  

  • Excellent written and verbal communication skills. 

  • Time management skills with the ability to meet deadlines.
