Job Description:

Job Summary

The overall purpose of this position is to support and provide back up for the IEEE Corporate Strategy team in all efforts, initiatives, and activities, related to the IEEE Presidents, Committees of the IEEE Board of Directors, and more. This will include providing Committee support, including but not limited to the IEEE New Initiatives Committee, the IEEE Diversity & Inclusion Committee, as well as Ad Hoc Committees and the IEEE Presidents as and when required, as well as develop communications. The position reports to the Director, Corporate Strategy, and functions as an individual contributor. This position works under general supervision and authority. This candidate should be comfortable interacting regularly with top management and senior volunteer leadership, handling confidential information, and navigating complex situations. Also, highly effective communication and writing skills are necessary, a keen eye for details, content creation, and the ability to be self-directed to anticipate what is needed. Travel to support IEEE Meeting Series and other committee meeting is required.

Key Responsibilities


  • Assists the Corporate Strategy team with all aspects of virtual and in-person meetings and events.

  • Assists in determining meeting times, most commonly by creating and managing Doodle polls. Sends meeting invites, creates Webex meeting links, and manages and reports anticipated attendance.

  • Supports meeting facilitation during virtual and in-person meetings including but not limited to taking detailed notes, screen sharing, and more.

  • Manages post-meeting activities such as drafting meeting summaries and minutes, sending emails related to the meeting, managing meeting files, and more.

  • Collaborates with the Corporate Strategy Director on the IEEE New Initiatives Committee grant submission proposal process including reviewing and filing new project ideas and proposals, building agendas using online tools, managing project reporting, and other support as needed.

  • Develops Diversity & Inclusion Committee digital content editorial calendar and execution, promotes content with the appropriate partners via various platforms; ensures timely follow-up and execution.

  • Develops engaging, user-centric presentations to support Corporate Strategy initiatives and as needed.

  • Develops engaging content as needed in support of volunteer initiatives including the IEEE Presidents and Committees.

  • Develops creation of promotional materials as needed, including graphics for both digital and print usage.

  • Collaborates with communication partners across the organization to promote and communicate content in newsletters, websites, social media, and other mediums to support Corporate Strategy initiatives.

  • Back up as needed the Executive Program Specialist, specifically managing Presidents’ calendars, travel, and more.

  • Bachelor's degree or equivalent experience in relevant field or equivalent experience Req

Skills and Requirements


  • Expertise in Microsoft Office tools, especially Word, PowerPoint, and Excel. Familiarity with G suite applications.

  • A technologically-savvy knowledge worker who tends to learn new applications quickly, and seeks out user resources for new digital tools, like Youtube Videos and other tutorials.

  • Intermediate proficiency in Excel or SmartSheet required; advanced proficiency preferred

  • Excellent written and verbal communication skills, and a keen eye for detail, and ability to edit documents

  • Takes initiative to anticipate needs and find new and innovative ways to work for efficiency

  • Project management experience and skills

  • Ability to manage several small projects and activities simultaneously and excels at self-prioritizing, anticipating needs, and at meeting tight deadlines

  • Uses discretion and good judgment in potentially contentious or sensitive situations

  • Exuberates the utmost professionalism and business acumen, and has the ability to maintain confidentiality

  • Ability to create and sustain effective relationships with volunteers and staff; experienced in supporting and working with volunteer and staff leadership, including Board and C-Suite

  • Must be able to travel domestically and internationally at least 2-3 times per year

  • Ability to generate creative and effective promotional materials
