Job Description:

Key Responsibilities include, but are not limited to the following:

1. Office Administration:  Handle day-to-day operations with a focus on efficiency and time management by organizing and implementing office systems, operations, and policies/procedures, with the following tasks:


  • Assist with employee business travel arrangements as needed.

  • Manage office mail distribution.

  • General operator for phone system.

  • Greet and support office visitors.

  • Inventory Control - submit for approval all equipment, office, and kitchen supply orders.

  • Manage office social media and general information email inquiries.

  • Office vendor relations and management.

  • Provide general administrative duties for department heads as needed.

  • Restock kitchen materials as needed.

  • Schedule meetings and appointments as requested.

  • Manage bookings of conference rooms and collaboration space.

  • Update office POC list as needed for distribution.

  • Keep office reference guides and marketing materials up to date with pertinent corporate information.

  • Assist with the onboarding and offboarding processes of employees, contractors, and temps.

2. Facilities Management


  • Liaison with property managers for repairs or building issues.

  • Communicate impactful facilities and parking needs to employees.

  • Drive office efficiency through efficient space utilization.

  • Manage office service providers.

3.  Program Management – Cristo Rey


  • Assist with the day-to-day management of the Cristo Rey Corporate Work Study Program.

  • Supervise and oversee project distribution to students during their school year.

4. Special Projects

  • Provide special project assistance to Operations Director as needed.

Supervisory Responsibilities: No Direct Reports.

Education and Experience:

High school Diploma/GED required, prefer an Associate’s degree. A minimum of 1 year of previous experience in a professional administrative services position.  

Computer Skills

To perform this job successfully, an individual should have knowledge of MS Office products including Outlook, Word, Excel, PowerPoint, etc.

Physical Demands

While performing the duties of this job, the employee is frequently required to talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk; use hands to handle; or feel and reach with hands and arms.  The employee must occasionally lift and/or move up to 25 pounds.

Work Environment

Majority of time is spent in an office environment.
