Job Description:

Aspire is a growing nonprofit organization of the Massachusetts General Hospital. We offer a variety of high-quality therapeutic programs and services that focus on helping children with high cognitive autism spectrum disorders and related profiles develop increased self-awareness, social competency, and stress management skills.


The Administrative Manager is a seasonal position working at the Aspire Summer Camp at Hale Reservation in Westwood. The Administrative Manager is responsible for helping to manage the day-to-day operations of the summer program site as well as all of the Aspire Summer staff to perform their jobs as efficiently and effectively as possible. This includes coordinating and supporting all administrative and secretarial aspects under the supervision of the Site Managers and Operations Manager. In addition, the role includes helping staff develop clinical and programmatic supports for the staff and participants of the summer programs.


• Attend pre-camp orientation and training prior to the start of the camp program (various dates/times in June 2024). Attendance at all training sessions is mandatory.


• Attend all staff meetings, trainings, supervision, and planning sessions as relevant to role, including designated leadership team meetings; these are scheduled during assigned staff hours.


• Maintain professional and positive communication with families, participants, staff, collaborators, and area agencies.


• Answer Adventure Camp Administration phone line and respond promptly to Adventure Camp Administration voicemails and emails.


• Maintain daily camper and staff attendance. Coordinate the status of all participants' arrival and departure in collaboration with designated staff (example- Charlestown bus liaison, Site Managers, etc.).


• Answer staff member COVID-related questions and concerns, elevating them to Site Managers when necessary.


• Prior to the first day of camp (arrival of campers), coordinate with Operations Manager and Site Managers to assist in pre-camp paperwork and Administrative responsibilities such as organizing camper paperwork, creating camper files, and other necessary Administrative tasks.


• Support completing the admissions process (medical forms and other required paperwork) for participants and staff at camp with Aspire Administrative Staff.


• Initiate and maintain critical organizational tasks pertaining but not limited to: supporting the scheduling of parent conferences and tracking all permission slips


• Collaborate with Site Managers and Operations Manager to manage staff time-keeping responsibilities


• Work collaboratively with area agencies to ensure Aspire's on-going positive relationships with the community including Hale Reservation Staff, School Personnel, Transportation Personnel, Dept. of Public Health, etc.


• Communicate with Site Managers and Assistant Site Managers to ensure that each group has an adequate schedule and support for their participants.


• Track incoming necessary paperwork and maintain spreadsheets, databases, and confidential files in accordance with organizational HIPAA expectations.


• Monitor and maintain administrative and clinical supplies inventory. Bring inventory needs to Site Managers and facilitate purchase process.


• Assist with coordinating the logistics of visiting field trips, parent conferences, family, and staff events.



Qualifications

• Enrolled in, or graduate of, Bachelor's program.


• Prior experience working with children and adolescents may be helpful.


• Strong interpersonal and team-building skills.


• Openness to receiving feedback on interactional skills with families, participants, and staff.


• Desire and ability to work in outdoor settings.


• Solid computer skills. MS Word required; knowledge of Excel, PowerPoint, Outlook, and Access helpful.


• Basic math and writing skills.


• Ability to work independently and be flexible.


• Excellent organizational skills.


• Strong attention to detail.


• Problem-solving skills.
