Screens emails and prioritizes need of Executives.
Manages multiple executive calendars and schedules
Must be able to prioritize job assignments
Screens incoming calls and correspondence, takes and relays messages and responds independently when possible
Receive, sort, scan, and send to appropriate person all mail and packages, via USPS, FedEx, UPS
Arranges programs, events, conferences by arranging facilities and caterer, issuing information of invitations, coordinates transportation, hotels, and itineraries Maintains general PACS files, either electronic or physical
Maintains confidentiality at all times
Assists with expensing administration reconciliation, and approval of reports Creates and Maintains spreadsheets for various projects and assignments Greets visitors, customers and vendors professionally
Presents self in a professional manner at all times including dress and appearance Orders office supplies and maintains inventory, approves invoices for payment Prepares memorandums/emails outlining and explaining administrative procedures/updates
Supports facilities and directs them appropriately
Schedules appointments and interviews and creates interview document packets
Take, log and forward all employee and resident grievances and other
Run various errands for Executives including getting lunch for work meetings
