Job Description:
The National Records Operations Manager (NROM) role is a key strategic leadership and people management role in support of Epiq’s Records & Information Governance (RIG) outsourced operations for a very large law firm. The NROM is responsible for day-to-day operational management and oversight of Epiq’s client RIG program, ensuring we are meeting or exceeding both the customer’s and Epiq’s standards for information lifecycle management. This position requires an operationally minded professional with significant experience in large law firm records and information governance operations, including multi-office management across a large team of RIG professionals.
Responsibilities
Effectively oversee and drive the maturity of the client’s RIG Operations and contribute to the client’s RIG program strategy
Drive effective and efficient day to day operations of the client’s RIG Operations
Manage, mentor and coach the Epiq RIG team to deliver high-quality work with a focus on customer service, operational excellence, and effective communication
Train and cross-train all Epiq team members on core RIG functions, systems, and processes
Ensure adequate coverage of all client offices with regard to supporting RIG activities
Manage the review and reconciliation of RIG program vendor invoicing such as offsite storage and shred services
Document and improve processes to achieve high levels of compliance
As the primary point of contact for Epiq RIG services for the account, establish positive, trusting relationships with client RIG leaders, Partners, Attorneys, and firm administrative leadership
Optimize the application of technology to day to day operations and provide recommendations to the client on new technology that may be of value to achieving program objectives
Collect and analyze data to identify process improvements, manage the Epiq team, and report out to the client on operational achievements and areas for collaboration
Direct and oversee projects such as real estate moves/restacks/closures, disposition projects, imaging projects, matter mobility projects, data cleanup projects, etc.
Responsible for monitoring and managing EPIQ commitments made as part of the agreement as well as ongoing commitments made during business reviews, Amendment changes or Service Level Agreement discussions
Proactively assess, clarify and validate customer needs; Engage Epiq subject matter experts to support major initiatives
Requirements
Minimum of 5 years of RIG program operations management in multi-office law firms with significant people management responsibility
Professional certification a plus (e.g., CRM, IGP, CIGO)
Impeccable written and verbal communication skills
Demonstrated experience applying RIG principles to core RIG activities such as physical and electronic information management, retention/disposition, matter mobility, etc.
Significant experience with law firm records management software applications (e.g., LegalKey, iManage Records Manager, FileTrail, iCompli) and working knowledge of law firm document management systems (e.g., iManage Work/Desksite/Filesite, NetDocuments)
Strong understanding of offsite records storage vendor landscape and operations
Experience with outsourced operations management a strong plus
The Compensation range for this role is 88,814 to 111,017.50 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
