Job Description:

The Document Control Specialist is responsible for the administration of the CHI document control system. This includes gathering and processing document change requests, reviewing and managing the applicable documents, ensuring the appropriate approvals are properly tracked and recorded, and the release of approved documents accordingly. Requires a strong understanding of all company quality systems and interactions as well as coordinating decisions related to certificate and/or regulatory requirements.


ESSENTIAL DUTIES AND RESPONSIBILITIES 



  • Responsible for oversight of all policies, procedures, and processes related to the CHI Quality System as well as enterprise wide documentation.

  • Functions as the primary point of contact for processing changes to CHI Quality System policies and procedures, providing the initial evaluation of requested changes, and coordinating the input and approval of principle stakeholders.

  • Coordinates the overall relational structure and interdependencies of policies and procedures, both within content and within the Quality System organizational structure as a whole.

  • Coordinates communication of requested changes between the requestors, technical writers, and approving individuals as related to business functions as well as certificate requirements and/or regulatory requirements.

  • Oversees the approval process of managed documents, monitoring the approval process and any required changes to assigned approvers, ensuring the functional timeliness of workflow.

  • Responsible for tracking and recording all required document acceptance/approval from external regulatory authorities.

  • Services as the contact liaison for acceptance/approval of Quality System from external regulatory authorities.

  • Perform similar functions for enterprise wide policies and procedures, and other documents, as required.

  • Functions as the Co-Chair of the Document Change Board.

  • Supports the Configuration Data Administrator. Helps manage type design changes by processing and maintaining configuration management records for documents, drawings and databases assuring that only validated changes are incorporated into product documentation. This includes, but is not limited to managing Engineering Change Order (ECO) release, drawing updates and Master Drawing List (MDL) management.

  • Gathers and records necessary approvals in updating of documents, as well as follow-up to ensure timely processing.

  • Supports certificate audits of the AS9100, AS9110 and FAA Production Certificates.

  • Conduct oneself in accordance with Company’s Core Values.

  • Other duties as assigned.


MINIMUM QUALIFICATIONS AND EXPERIENCE 



  • High school diploma or equivalent required; Associates Degree or higher preferred.

  • Two years of experience in Quality Systems Process Control preferred.

  • Two years of experience in database management and document control preferred.

  • Proficient in Microsoft Office applications and Adobe Acrobat.

  • Strong internal/external customer relation skills with the proven ability to work across departmental lines, overseeing interdepartmental workflows.

  • Strong organizational skills and detail-oriented with ability to compile, organize, and verify accuracy of information.

  • Ability to work on multiple projects with multiple priorities and deadlines in a fast paced environment while working efficiently and providing a quality product with attention to detail.

  • Excellent written and verbal communication skills to be able present ideas, concepts and proposals with a wide range of audiences at all levels both internal and external to the company.

  • Maintain a good working relationship with all team members, stakeholders and customers.

  • Experience in aerospace or general aviation preferred.
