Job Description:

The Development Coordinator is an integral member of the Massachusetts General Hospital Development Office, supporting the fundraising activities of the Home Base program. The coordinator provides administrative, fundraising and project support for the Managing Director of Home Base and other team members. With appropriate guidance, the coordinator manages calendars, handles preparations for meetings and events, processes business expenses and makes travel arrangements when needed. The coordinator also tracks fundraising actions and activities in a donor database and prepares and distributes team reports.


We are looking for someone who is organized, collegial and can anticipate needs and complete tasks independently. In addition, the ideal candidate will thrive working collaboratively as part of a team and have excellent time management and organizational skills.

The Home Base Program



Home Base, a Red Sox Foundation and Massachusetts General Hospital Program, is dedicated to healing the invisible wounds for Veterans, Service Members and their Families through world-class clinical care, wellness, education and research. As a National Center of Excellence, Home Base operates the first and largest private-sector clinic in the nation devoted to healing invisible wounds such as post-traumatic stress, traumatic brain injury, anxiety, depression, co-occurring substance use disorder, military sexual trauma, family relationship challenges and other issues associated with service.

General MSP Responsibilities



• Manage the calendars of the Managing Director and other assigned individuals, keeping them free of scheduling conflicts.


• Write and/or review correspondence and other written materials upon request and interpret information necessary to draft responses as needed.


• Prepare and regularly update planning documents and progress reports.


• Make travel arrangements according to requested specifications and prepare travel itineraries; help coordinate other aspects of business travel.


• Coordinate logistics, prepare agendas and other materials, take notes and organize follow up actions for meetings, events, donor visits, appointments and presentations, troubleshooting issues as needed.



Fundraising Support



• Review weekly gift reports and prepare acknowledgement letters for donor and event sponsors for Home Base senior leadership.


• Complete booking forms for gifts and pledges, create appeal codes and submit advanced approval forms for Signature events in a timely manner with thorough backup information.


• Gather and record data/information and action items in a donor database, ensuring thorough documentation of fundraising activity and results.


• Work closely with the team to track and inform about pending reports, engagements and other stewardship actions scheduled for donors and prospects.


• Produce reports from ATLAS and fundraising summaries, as needed.


• Research and compile data supporting major gift proposals and solicitations.



Marketing and Events



• Work closely with the Information Management team to pull lists and refine revenue tracking reports.


• Oversee printing and production of event collateral, signage and program books for events, as needed.


• Oversee registration, coordinate travel logistics for VIPs, develop leadership blue books, and coordinate post-event follow up (i.e. live appeal pledge donors, acknowledgement letters, thank you gifts) for signature events.


• Manage Home Base merchandise, collateral and office supply inventory and work with appropriate vendors to reorder when necessary.


• Develop and maintain invitation lists for other signature events.


• Attend and assist with MGH special events.



Other General Responsibilities



• Submit employee expenses and vendor payments.


• Assist with daily administrative activities.


• Maintain appropriate filing and follow-up systems in accordance with policies and procedures established by the Development Office.


• Participate in professional development opportunities, including internal volunteer or job shadowing roles when appropriate.


• Serve as a proactive team member and collaborate on identifying process enhancements.


• Contribute to maintaining positive office morale, even in the face of high work volume and challenging periods.


• Take on other office-wide duties as needed.


• Adhere to the mission, credo and standards of behavior of Mass General



Qualifications

This position requires 1-2 years of experience, ideally in a fundraising office or a client-facing or relationship-building role. A bachelor's degree is preferred but not required.


In addition, the ideal candidate will possess the following skills, abilities and attitudes:


  • Ability to prioritize tasks, handle multiple projects simultaneously and meet deadlines with minimal guidance

  • Excellent attention to detail, writing, communication and customer service skills.

  • Organizational, time management, problem-solving and project management skills.

  • Proficiency on Microsoft Office applications, or the ability to learn them quickly.

  • Ability to troubleshoot and take appropriate steps to resolve issues.

  • Competency using video conferencing platforms (Zoom and Teams preferred).

  • Proficiency on data entry or data management and familiarity with Blackbaud CRM or Raiser's Edge preferred.

  • Professionalism and a strong work ethic.

  • Desire and motivation to learn about the organization and fundraising.

  • Adaptability and flexibility in times of shifting priorities.

  • Ability to work collaboratively with diverse individuals.

  • Commitment to adopting process improvements and operational efficiency.

  • Inclination to build internal and external relationships.
