Job Description:

Books conference center facilities, collaborates with internal and external customers and provides detailed event coordination and oversight for all conference center/meeting room events. Provides administrative support for Food and Nutrition Services operations.High School Diploma or GED - Minimum Required | Dental Assisting Certification, Radiology Certification | No experience required - Minimum Required ? 1 - 2 Years equivalent experience - PreferredConference Center and Event Coordination - 65% Schedule conference center/meeting rooms providing complete event coordination and oversight as the primary liaison in all details including catering arrangements, customer service and satisfaction, audio visual needs, room set up/clean up, collaborating with PR & Marketing for event promotion and signage for all internal and external customers. Serves as the primary point of contact for all internal and external customers, building strong relationships through service excellence, attention to details while projecting a professional and positive image of the Drake Center. Maintains time management flexibility to be present for events as the �in charge� person to ensure customer�s expectations are met while ensuring Drake property is appropriately utilized. Demonstrates excellent communication skills and a team orientation in all aspects of collaboration with all departments, peers, leadership and customers across the organization, health system. Responsible for all conference center event billing to clients for services rendered. Track revenue and expenses; recommend pricing adjustments as needed with the goal of making the conference center break even on costs or generate a profit. Identifies opportunities to market Drake Center services and build awareness and preference for Drake services, as well as cross market services when opportunities arise. Perform other duties as assigned. � Office Administration - 25% Compiles charges and statistical reporting including: maintains data to track activities in nursing floor stock, patient trays, nourishments, late trays, catered beverages and meals. Generates month end statistical spreadsheets for inclusion in Manager�s financial reports for Senior Leadership. Analyzes and processes daily vendor invoices to verify and validate appropriate pricing and quantities, defines budget category breakdowns for all invoices for payment approval and forwards to accounts payable. Resolves invoice errors, credits and payment problems. Controls office supply inventory, monitoring usage and inventory levels, identifying any relevant changes that impact budget limits. Organizes and secures supplies to insure control, yet have readily available for defined uses. � Other - 10% Serves as office contact and administrative support for FANS, demonstrating a strong customer service orientation and professional demeanor in all areas of communication with internal and external customers and vendors. Performs other duties as assigned. | Review the physical demands and assign an overall average percentage of time this position performs these activities.
