Scope: The Executive Assistant plays a pivotal role in supporting our senior executive and ensuring the smooth operation of the senior executive's office. This role requires a highly organized, efficient, and professional individual who can handle a wide range of administrative tasks and work with discretion, confidentiality and is eager to learn.

Responsibilities:
  • Work closely with the Senior executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Provide administrative support to the senior executive, including managing calendars and scheduling meetings.
  • Serve as a point of contact for internal and external stakeholders, including screening and prioritizing incoming communications, inquiries and requests while troubleshooting conflicts if any; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Prepare and edit correspondence, presentations, and reports for internal and external distribution.
  • Assist with project management tasks, such as organizing meetings, tracking action items, taking minutes, and ensuring deadlines are met.
  • Coordinate all Executive Team meetings and assist with staff meetings and events as needed.
  • Anticipate management needs in advance of meetings, conferences, etc.
  • Arrange and handle all logistics for executive meetings and events: schedule meetings; prepare meeting agendas, materials, and presentations and seek pertinent information ahead of the meetings.
  • Handle confidential and sensitive information with a high level of professionalism and composure.
  • Organize travel and maintain the schedules.
  • Actively engage with the executive's direct reports to ensure alignment of priorities and open communication paths.
  • Manage all aspects of the organization's office services.

Qualifications:
  • Bachelor's degree preferred.
  • Minimum 3 years of executive support experience, including supporting senior executives.
  • Strong verbal and written communication skills
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Exceptional organizational skills and impeccable attention to detail
  • High degree of professionalism in working with diverse groups of people.
  • Ability to complete tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Willingness to take on additional tasks to keep things on track - comfort in a start-up environment.
  • Must be authorized to work in the United States.
