We are seeking a competent assistant to support three project managers in cold storage construction projects. The ideal candidate will thrive in a small family business and have excellent communication and organizational skills, with the ability to multitask and prioritize tasks effectively.
Responsibilities:
Answer and direct phone calls in a professional manner.
Manage incoming and outgoing project correspondence, including mail and email.
Schedule appointments and meetings, and maintain calendars for management.
Track project submittals and procurement status
Handle administrative requests and queries from senior managers.
Maintain electronic and hard copy filing systems.
Provide general administrative support to staff as needed.
Coordinate travel arrangements for staff and management.
Assist with event planning and coordination.
Ensure office equipment is properly maintained and serviced.
Maintain orderliness and cleanliness in common office area and conference room.
Qualifications:
Proven experience as an administrative assistant or project admin.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
Familiar with project management software systems.
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational and planning skills.
High school diploma; additional qualification as an Administrative Assistant or Secretary will be a plus.
