The Executive Assistant is responsible for delivering high-level administrative assistance to both the Chief Financial Officer and Chief Executive Officer.
Duties include but are not limited to:
Developing and implementing an effective documentation and filing system
Creating reports, presentations, and briefs
Taking dictation and minutes, and accurately inputting data when necessary
Handling inquiries and requests professionally
Managing phone calls, messages, and correspondence routing
Crafting professional correspondence
Managing applications and permit forms
Offering comprehensive administrative support to the Executive Director and other assigned leadership personnel
Completing clerical and administrative duties such as drafting letters, memos, invoices, reports, and other relevant documents for senior staff
Coordinating travel and accommodations for executives
Organizing and participating in meetings on behalf of executives, including note-taking and minute recording
Receiving and reviewing incoming communications or memos on behalf of senior staff, assessing significance, and distributing content accordingly
Executing office tasks such as record-keeping, supply ordering, and basic bookkeeping
Fulfilling additional responsibilities as directed by executives
Undertaking other associated duties as assigned
Qualifications:
Preferably possess an Associate or Bachelor's degree in administrative assistance
Demonstrated experience of five years or more in supporting executive suite leaders
Prior work experience in a fast-paced business office environment is crucial
