Our client is a high end spa located in Manhattan, NY seeking an Executive Assistant for the Spa Director/General Manager. The Executive Assistant is a key role designed to support the Spa Director in managing the spa's daily operations and administrative tasks with a significant emphasis on liaising with vendors and third parties. This role also includes creating presentations for various operational, training, and marketing purposes. The ideal candidate will be a detail-oriented, organized, and proactive individual with excellent communication skills and a flair for creating compelling and informative presentations.

Key Responsibilities

  • Support the Spa Director/General Manager with administrative and operational tasks.
  • as a point of contact for vendors and third-party companies, facilitating negotiations, communications, and contract management.
  • The procurement of spa supplies, equipment, and services, ensuring adherence to quality and budgetary guidelines.
  • Collaborate with the Spa Director to develop and implement process improvements and operational strategies.
  • Assemble, and present high-quality presentations for internal and external stakeholders, including staff procedures and operational reports.
  • Assist in keeping up-to-date records and reports on operational activities, expenses, vendor evaluations, and inventory.
  • Organize the weekly agenda, check the progress of the do-do list and draft the meeting reports.

Qualifications

  • A bachelor's degree in business administration, economics, hospitality management, or a related field is preferred.
  • 3 to 5 years of experience in an administrative, operational, or related role, preferably but not limited to the hospitality environment.
  • Exceptional communication and interpersonal skills, with a strong ability to build and maintain relationships with vendors and team members.
  • Proficiency in presentation software (e.g., PowerPoint, Keynote) and Microsoft Office Suite, alongside familiarity with inventory management systems.
  • Excellent organizational skills, with the capacity to prioritize and manage multiple tasks in a calm and efficient manner.
  • Detailed oriented with a proactive approach to problem-solving and a commitment to confidentiality and professionalism.

Benefits & Pay

Base Salary of $80,000 to $90,000
