The Wesley House Community Center is a Christian ministry established in 1907 to identify and build on the strengths of individuals and families to create a stronger community. We currently provide academic, emotional, and spiritual support to 100+ students. Our after-school program has an academic focus and helps students become enthusiastic learners. Our Wellness in Senior Education, or WISE, program provides food, fun, and fellowship to under-served senior citizens. The Wesley House Food Pantry provides the Knoxville community groceries, household supplies, pet supplies and more to anyone in our area. We are located less than a mile from Downtown Knoxville and the University of Tennessee.
The Wesley House Administrative Coordinator will provide administrative support to the Wesley House Community Center. The Administrative Coordinator will help coordinate daily logistics within the center by providing exceptional customer service to parents, outside vendors, community partners, and various stakeholders that reach out to the organization daily. The Administrative Coordinator will provide superior front-desk coverage and ensure that all administrative duties are completed in a timely, professional, supportive, and friendly manner. Some evenings and weekends are required. This position may require limited travel.
Key Responsibilities:
Utilize superior listening, speaking, communication, and logistical skills to oversee the front desk and provide exceptional service to guests/caregivers/visitors each day
Complete administrative tasks in a timely manner, including answer phones, checking e-mails, making copies, organizing documents/files, and ensuring that participant documents/records are properly filed and organized at all times
Ensure front desks is kept neat and tidy at all times
Assist with planning and logistical manners regarding field trips, special programs, organization-wide events, etc.
Manage and track applications and scholarship forms, ensuring accuracy and organization at all times
Continuously update caregiver sign-in sheet
Collect payments from caregivers, and carefully/accurately document payments/receipts for organizational records
Enter checks from donors, print gift acknowledgments, and mail
Develop and maintain sign-in sheets for all Wesley House Activities
Employ strong communication skills to answer the phone and provide timely, professional, and support
answers/messages, and relay information to staff as needed
Assist with the coordination, planning, and implementation of Wesley House events, as directed by Director of Youth
Services and various Wesley House leadership team
Assist with transporting program participants to Wesley House from school and on field trips, as needed
Assist with setup and preparation for Board meetings, including name cards, board packets, and board orientation binders
Provides support with other Wesley House initiatives as time allows.
Ensures that daily actions and behavior align with the mission, vision, and cultural values of the organization
All other duties as assigned
Experience or Skills Needed:
Must be at least 18 years of age
Education and experience outlined below:
High school diploma or equivalent + 4 years of administrative and secretarial experience o Associates degree + 2 years of administrative and secretarial experience
Bachelor's degree + 1 year of administrative and secretarial experience
Master's degree: no experience required
Excellent oral and written communication skills (including public speaking)
Problem solving and multi-tasking
Organization and leadership, as well as exceptional time management skills
Knowledge of Microsoft Word, Outlook, Excel, Teams etc.
Work Hours & Compensation:
Available Monday-Friday (1pm-5:45pm)
$13 per hour with $.25 increase based on work and education experience
