Job Description:

SOL Capital Management Company's Client Services team is looking for its next great team member. The primary function of the Client Relationship Administrator is to support the Client Relationship Manager as a technical expert onboarding new client accounts and maintaining existing accounts and structures. In support of delivering superior client service, the successful candidate in this position will work closely with all associates across each group. You will assist in this endeavor by preparing the required documentation for the client onboarding process, as well as the necessary documents and system updates for managing and maintaining relationships across the account's lifecycle. Recent and upcoming college graduate applications are encouraged. An interest in the financial services industry, specifically registered investment advisory services, is essential.

Job Responsibilities:

Account On boarding/Maintenance (50%)
  • Promptly and accurately prepares SOL contracts, custodian account applications, and account maintenance documentation for new and existing accounts.
  • Prepares new and existing client account paperwork, including internal SOL contracts, custodian forms, applications and other client deliverables for execution and processing.
  • Performs Anti-Money Laundering (AML) reviews of all new portfolios.
  • Works with service providers and law firms to establish domestic and offshore corporate/legal structures and reviews all paperwork for accuracy.
  • Ensures timely and accurate account set up and processing at custodians and service providers by establishing working relationships with custodial representatives and becoming familiar with custodian policies and procedures.
  • Prepares and reviews all account-related documents and submits to Operations, Records Management or service providers as required.
  • Prepares and coordinates mail, faxes, and express packages for clients and custodians
  • Coordinates internal and service provider's Know Your Client (KYC) requests,
  • Coordinates and prepares documents for account transfers, with special follow up for transfers.

Records Management (25%)
  • Manages and maintains all relevant client records on the firm's CRM platform and Electronic Content Management system (Laserfiche), and verifies custodians maintain accurate records.
  • Receiving and processing electronic and paper records.
  • Assisting records manager in performing information audit.
  • Verifying the received records are complete, correct, and conform to specified standards.
  • Supports records management training and best practices.
  • Assisting in records reporting, disposition, and clean?up.

Support (25%)
  • Supports and/or leads projects, including preparation of templates, forms, and audits of systems of record or custodian databases to ensure data quality and completeness.
  • Critical in supporting, retaining, and building meaningful relationships with clients, custodians, and industry professionals.
  • Responds to executive's requests for client/prospect information.
  • Updates financial and economic summaries used for business development activities.
  • Creates, verifies, and distributes client reports internally and to clients via mail, email, electronic portal and/or overnight mail on a periodic/ad hoc basis.
  • Supports switchboard operator as a backup.
  • Other duties as assigned.

Job Requirements:
  • BA/BS degree in any discipline but with a desire to learn the finance industry.
  • Proficiency with Microsoft Office products (especially Excel), client relationship management tools, and Adobe Acrobat.
  • Strong attention to detail. Demonstrates detail-oriented approach to tasks and deliverables
  • Excellent organizational and time management skills; ability to manage multiple, concurrent projects and priorities in a fast-paced environment.
  • Superb written and oral communication skills.
  • Strong analytical and problem-solving skills.
  • Ability to work well in a collaborative, team environment.
  • Able to successfully complete required background check.
