Seeking a highly motivated individual to join a leading sporting goods company as a Payroll Office Administrator. This role involves overseeing daily office operations, managing administrative and Human Resources (HR) tasks, and ensuring accurate and timely payroll processing. Responsibilities include processing semi-monthly payroll for a multi-state organization, handling new hires, terminations, bonuses, leaves of absence (LOA), wage garnishments, direct deposits, vacation accruals, healthcare premiums, and 401(k) deductions. This role will also support the local implementation of a global payroll platform and act as a liaison between internal departments and various locations for payroll processing needs and support. Reporting to the Country Director, this position plays a pivotal role in the company's payroll function.

Job Duties:
  • Manage all aspects of the bi-weekly payroll processing in multiple states for 80+ employees ensuring accuracy, compliance, and outstanding service goals. Prepares journal entries bi-weekly Payroll off cycle payroll and 401k deductions, monthly vacation accrual), performs month-end analysis and reconciliation of Payroll related accounts.
  • Payroll software system soon to be transitioned to a new global payroll platform.
  • Acts as the first point of contact for employees and partners closely with HR regarding payroll-related matters
  • Proactively identifies and resolves payroll discrepancies and determines the most appropriate method of communication to employees.
  • The position is an individual contributor and does not have people management responsibilities.
  • Maintains a high level of confidentiality at all times related to compensation information.
  • Prepares and maintains payroll records and reports.
  • Reviews and distributes annual W-2s.
  • Prepares bi-weekly 401 (K) transmittals for employee deferrals with our 401K administrator.
  • Supports payroll audits as needed.
  • Assists in implementing, writing, and maintaining standard operating procedures for Payroll.
  • Maintains payroll records in accordance with company and regulatory requirements.
  • Perform, with a team approach, other duties as assigned.
  • Oversee the smooth functioning of the office on a day-to-day basis.
  • Manage office supplies inventory and ensure timely replenishment.
  • Coordinate office maintenance and repairs as needed.
  • Handle incoming and outgoing correspondence, including emails, letters, and packages.
  • Complete new hire onboarding, completes new hire paperwork, I-9s and coordinates Benefits Open Enrollment
  • Assist in scheduling appointments, meetings, and conferences.
  • Maintain and update company records, including employee information, contracts, policies, and employee files.
  • Prepare reports, presentations, and other documents as requested by management.
  • Coordinate travel arrangements and accommodation for staff members when necessary.

Qualification:
  • 5+ years combined relevant working experience.
  • BA/BS in Accounting, Finance, Business Administration, or equivalent experience.
  • Demonstrated knowledge and skills in Payroll software programs.
  • Excellent communication (verbal and written) and organizational skills.
  • Recent hands-on experience with general ledger accounts, including month-end closing processes.
  • Systems-savvy and proficient with Microsoft Office, especially strong Excel.
  • Positive team-player, who can take ownership of assigned responsibilities.
