Job Description:

Position Summary

The Project Coordinator at Wellful plays a pivotal role in ensuring the successful planning, execution, and completion of projects within the Wellful organization. This role collaborates closely with project managers, team members, and stakeholders to facilitate project progress, maintain documentation, and coordinate project-related activities. This position is a hybrid remote position, meaning physical presence in the workplace is required at least (3) days per work week. Employees in this position must meet and adhere to the requirements set forth in the Company's Hybrid Work Policy.

Essential Functions

  • Planning: Assist in developing project plans, timelines, and budgets.
  • Act as a central point of contact for project-related communication between team members and stakeholders.
  • Maintain comprehensive project documentation, including project plans, status reports, and meeting minutes.
  • Tracking: Monitor project tasks and deliverables, ensuring they are completed on time and within scope.
  • Assurance: Ensure project deliverables meet quality standards and are in compliance with project requirements.
  • Create and manage project schedules and calendars.
  • Schedule, prepare for, and facilitate project meetings, both remote and in-person, including agenda creation and follow-up on action items.
  • Generate regular progress reports and updates for project managers and stakeholders.
  • Management: Assist in tracking project expenses and adherence to budget constraints.
  • Engagement: Foster positive relationships with project stakeholders and address their inquiries or concerns promptly.
  • interaction and coordination of work, including the ability to work in person at local office at least three (3) days per work week.
  • out-of-state travel for meetings or events that occur outside of an employee's scheduled office days and in which the Company determines, in its sole discretion, that in-person attendance is required.

Education and Experience Requirements

  • Proven experience in project coordination or related roles.

Preferred Qualifications

  • Bachelor's degree in a relevant field or equivalent work experience
  • Proficiency in MS Office tools (Excel, Outlook, Word)
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in project management tools and software (e.g., Microsoft Project, monday.com).
  • Attention to detail and ability to work well under pressure.
  • Problem-solving skills and a proactive approach to challenges.
  • Knowledge of project management methodologies is a plus.
