We are seeking a motivated and experienced Assistant Office Manager to join our clients team and provide exceptional support to the Office Manager. In this role, you will play a vital role in ensuring the efficient day-to-day operations of their office.

Responsibilities:
  • Provide administrative support to the Office Manager, including scheduling appointments, managing calendars, and handling correspondence.
  • Manage office supplies and equipment, including ordering, inventory control, and budgeting.
  • Oversee office facilities and ensure a clean, professional, and functional work environment.
  • Coordinate travel arrangements and expense reports.
  • Assist with bookkeeping functions, such as processing accounts payable and receivable, and bank reconciliations (2-3 years of accounting experience required).
  • Provide HR support, such as onboarding new employees, maintaining personnel files, and processing payroll (2-3 years of HR experience required).
  • Manage and maintain office filing systems (both physical and digital).
  • Assist with special projects as assigned.
  • Maintain a professional and courteous demeanor while interacting with staff, clients, and vendors.

Qualifications:
  • Minimum 2-3 years of experience in an office administration or related role.
  • 2-3 years of experience in accounting, with proficiency in common accounting software.
  • 2-3 years of experience in HR, with knowledge of employment law and best practices.
  • Excellent organizational, time management, and multitasking skills.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • A positive and proactive attitude.
  • Sage 100 (Preferred)
  • Construction industry experience (Preferred)
