Purpose of Job:



The Sr. Collection Specialist is responsible for driving collections via calls and/or correspondence in a fast-paced, goal-oriented collections department. This role is accountable for reducing delinquency for assigned accounts by providing exceptional customer support to external and internal customers.



Job Components:



  • Monitor assigned accounts ensuring Interstate receives debts owed in accordance with credit terms; including developing a strong knowledge of the customers' policies and practices; and mastering customer portals if applicable.


  • Own the reconciliation of customer statements/billings escalating and resolving customer issues and questions regarding billing.


  • Contact customers or distributors timely; notifying and partnering to resolve overdue payments.


  • Understand the cash application and billing processes; assist when necessary to ensure customer issues are resolved timely.


  • Own Service Now cases related to collections maintaining the Interstate service level agreements and assisting with Team member questions.


  • Collaborate with your Manager and other Team Members ensuring collection processes are efficient; provide recommendations for improvement as applicable.


  • Partner with the commercial teams to define, design, and test billing related to the onboarding of new volume or customers.


  • Maintain files, approvals, and supporting documentation in accordance with credit policies and procedures.


  • Develop and build strong working relationships with the business ensuring accurate and relevant data is shared timely.


  • Identify and obtain the proper Tax Certificates and distribute them to the Tax Department.


  • Assist in the testing of software enhancements, as required.


  • Provide backup support as needed for associates who are out of the office.


  • Educate and train new employees on accounts receivable (AR) policy and procedures; or as required.


  • Assist management in reviewing the team's payment requests for distributors submitted daily.


  • Work and complete the General Ledger (G/L) Smartsheet daily for the AR/AP clearing account.


  • Create and enter credit memos to the distributors' General Monthly Statement (GMS) and post them to the AR upload as required.


  • Partner with Corporate Accounting on the annual audit.


  • Participate in special projects and additional duties as assigned.





Qualifications:



  • High School degree


  • An equivalent combination of education and/or 5+ years' experience is preferred.


  • Self-motivated, results-oriented, enthusiastic individual who will interact with a variety of customers and internal teams.


  • Strong knowledge of creditor terms and terminology.


  • Excellent customer service skills.


  • Ability to problem-solve complex accounts.


  • Team player: ability to collaborate and build relationships within their team and other Interstate teams.


  • Knowledge of large ERPs. SAP preferred.


  • Exceptional oral, written, and active listening communication skills.


  • Intermediate Microsoft skills including Excel and Word.


  • Ability to work independently and manage multiple tasks to completion.

Work Environment:



  • Ability to sustain posture in a seated position for prolonged periods of time.


  • Regularly required to use hands to grasp or handle, talk and hear, stand and walk.


  • Specific vision abilities include close vision, depth perception, and the ability to adjust focus.


  • Ability to occasionally lift and/or move 15+ lbs.


  • Prolonged use of personal computer & telephone.
