Job Description:

The Business Office Manager is responsible for ensuring the overall business office operations are conducted professionally and within local, state, and federal standards, guidelines and regulations.

Listed below are additional duties and/or responsibilities that you will be required to perform.


  • Actively track and assist residents and families in obtaining Kentucky Long Term Care Medicaid Eligibility.

  • Maintain an accurate system of resident census tracking.

  • Make recommendations to the facility Administrator and/or accounts receivable representative regarding issues or processes that may enhance/improve the timely collection of debts.

  • Ensure established policies and procedures pertaining to the overall operation of the business office are followed.

  • Manage the collection of accounts receivable as requested by the facility Administrator.

  • Ensure state and federal standards, guidelines and regulations regarding collections and disbursements of monies are followed.

  • Establish and maintain an organized system of bookkeeping for resident financial records and other related business office documents.

  • Review monthly petty cash, resident trust and activity fund reconciliations, notifying the facility Administrator and Accounts Receivable Manager of any problems. Make recommendations for process improvements.

  • Participate in facility activities as requested by the facility Administrator.

  • Participate in the pre-admission process of residents as evidenced by retrieving all necessary pay source information, verifications and any other related pre-admission information so that informed decisions may be made regarding admissions or denials

  • Develop and maintain a good working rapport with inter-department personnel, as well as other departments within the facility, to assure that administrative services and activities can be properly maintained to meet the needs of the facility.

  • Provide information to resident/families as necessary and allowed in accordance with state and federal guidelines and regulations or refer to appropriate department or agency.

  • Maintain a thorough, detailed record of the collection progress of delinquent accounts.

  • Recruit, select and train competent office personnel as necessary or directed.

  • Ensure that accurate records/reports are submitted to authorized government agencies as directed.

  • Maintain confidentiality of all pertinent resident care information to assure resident rights are protected.

  • Ensure the maintenance of resident funds in accordance with current regulation and facility policies.
