Position Summary:
The Order Processing Specialist is responsible for properly reviewing, classifying, and routing all incoming Sales Orders through Engineering and/or Production Planning in a timely and efficient manner. Responds to customer inquiries by telephone or e-mail to provide non-technical problem resolution while simultaneously processing necessary information. Resolves complex or unusual requests and problems that may require a customized response and communicates solutions or requested information to the customer. Analyzes customer requests and refers to other service or technical departments for follow-up as needed. May be assigned to support complex or critical processing. Uses ERP system to enter order information, record activities, and research product information. This position requires an incredible amount of attention to detail, sense of urgency, and ability to think "outside of the box." The Order Processing Specialist must possess a general understanding of our business and products. The ideal Order Processing Specialist must also demonstrate a tenacious amount of organization alongside persistent follow-up.
Primary Responsibilities:
Enters Customer Purchase Orders into ERP System.
Ensures that all pertinent information is included at the time of order, specifically accurate customer information, product numbers, item descriptions, quantities, pricing, shipping instructions, contact info, payment terms, requested shipping dates, etc.
Distributes Customer Orders and all correlating documentation to various departments depending on Order Class.
Maintains up-to-date customer information in ERP System.
Maintains Progress Billing Schedules.
Types Equipment Specification Release (ESR's) into ERP System once received from Engineering Department.
Ongoing Record-Keeping for Monthly and Annual Reports
General Office Duties
Continual follow-up on any issues causing roadblocks with the Order Entry process.
Creates Spare Parts proposals if/when time allows.
Sends Order Verifications to Customers; confirms Shipping terms with customers.
Guides the Sales team on how to maximize their utilization of Syteline.
Acts as a liaison between Shipping Department and Customer; informs Salesmen and Customers of any delays on orders.
Works with Accounting to solve invoice and payment problems, adding new customers, and determining credit terms.
