Job Functions, Duties, Responsibilities and Position Qualifications:
Position Summary: The Distribution Manager is responsible for managing the day to day of all Logistics, Couriers, and Supply Operations. This includes the transfer of reports, records, supplies, and medical specimens between the laboratory and the client's office or between lab and hospital. In addition, this role will also be responsible for providing assistance to the customer with regard to problems, information, special requirements, etc. and ensuring that the laboratory leadership team informed with regard to customer needs. The Distribution Manager oversees that employees adhere to departmental policies and procedures to include departmental programs, quality control, quality assurance, and safety; and will maintain appropriate departmental operating policies and procedures and takes remedial action when necessary. Maintains departmental expenses and productivity as budgeted. The Distribution Manager supervises the receipt of supplies/materials, oversees inventory, and inventory control system.
Principle Responsibilities:
Hires and directs departmental staff in the performance of their duties.
Interviews all prospective applicants for department
Oversees departmental general orientation and training of employees in specimen processing and data entry tasks
Conducts competency testing and performance appraisals for employees in a timely manner
Counsels employees when indicated in accordance with CPL and departmental policies
Utilizes staff effectively through scheduling and work assignments
Oversees and maintains the following departmental programs
Institutes and revises departmental policies and procedures as needed for Courier and Logistics tasks.
Develops and maintains departmental quality assurance and quality control programs, taking corrective action when indicated
Follows and enforces all safety, infection control, and OSHA Blood borne Pathogen guidelines
Assists with continuing education programs within the laboratory
Utilizes the following tools to manage departmental resources
Maintains expenses within a budgeted variance
Maintains appropriate supplies to correspond with processing and data entry requirements
Identifies and recommends items for capital purchase
Evaluates data to determine the most cost effective methods and supplies
Demonstrates efficiency by performing procedures rapidly and accurately while determining priority at the same time. Strives to meet departmental goals for completion times
Ensures timely delivery of reports, records, etc.
Maintains daily pick-up and delivery within specified time for those customers as designated in courier program.
Answers inquiries for courier program, test information, and basic customer related issues.
Ensures vehicle maintenance and fuel cards are up to date.
Maintains safe driving habits by abiding to all laws.
Utilizes personal and professional skills to promote successful relationships with management, supervisors, subordinates, co-workers and clients
Communicates with staff to ensure highest level quality of work for each specimen received
Strives to maintain a positive and harmonious work environment
Maintains and supports a service oriented relationship with clients and all other employees
Respects and maintains the confidentiality of information relative to clients and patients
Follows all company policies and procedures
Maintain Fleet management System for region's fleet.
Keep vehicle inventory accurate within the Emkay system.
Add and delete drivers from the fuel system to keep it accurate.
Make sure all repairs and maintenance are correctly allocated for region.
Prepare as needed for the replacement of courier vehicles.
Justify capital expenditure with accurate maintenance records.
Insure all accidents are reported timely ( within 24 hours ) to the Logistics Director
Invoicing
Audit all invoices for accuracy and insure all invoices are correctly allocated to division and remote operation.
Constantly look for more economical choices for services while keeping an eye on service.
People Management
Engage with department staff daily.
Seek input from all in department.
Help other departments with service requests without having Distribution suffer.
Supply Management and Inventory Control
Monitor WASP to ensure compliance with issuance of supplies
Maintain appropriate PAR levels to ensure an adequate amount of on-hand supplies
Build relationships with vendors and corporate staff
Evaluate and improve the function of the entire department to align with corporate goals and initiatives
Enthusiastically performs miscellaneous duties with completion in a designated time frame
Scope: Promotes quality client/patient relations and creates a supportive climate by serving as a role model for behavior. Respects and maintains the confidentiality of information relative to the laboratory. Adheres to all laboratory policies and regulations. Works with minimal direction. Functions as a liaison between the organization and the organization's customers. Operates general laboratory equipment, including but not limited to: telephones, computer keyboards and CRT, automated analyzers, centrifuges, microscopes, manual and automated pipettes. Effectively communicates via written, verbal, face-to-face, telephone and computer methods. Operates a conventional vehicle (car, truck, and/or van).
Education and Experience:
Minimum- High School Diploma or GED
Preferred- Some college level courses and supervisory experience.
Skills: Ability to read, analyze, and interpret technical reports. Ability to write accurate and concise clinical documents, memos, and required correspondence. Ability to collect and analyze data using statistical methods. Ability to communicate effectively at all levels within the organization and with organization's customers.
Physical Requirements: Requires light to medium lifting and carrying of objects weighing up to 50 pounds. Requires manipulation of tools, objects, and equipment using the following physical motions: pushing, pulling, lifting, reaching above shoulder height, grasping with both hands, pinching with thumb and forefinger, twisting with hand and wrist, climbing under, lifting up, lifting down, and reaching under. Routinely requires coordination of two or more physical operations. Routinely requires visual discrimination of color, size, shape, and motility. Requires the ability to hear audible alarms on temperature monitored equipment and automated analyzers. May be required to work under extremely stressful conditions with time constraints and crisis situations.
Environmental Demands: Works in temperature controlled environment with constant exposure to biological and chemical hazards. May be required to operate fire and safety equipment or follow other safety procedures in an emergency. May be required to work with time constraints and in crisis situations.
