Job Description:

Nemours is seeking an Executive Team Coordinator II (Full-Time), to join our team in Orlando, Florida.

This position will manage a wide range of support tasks and complex projects while working independently with little or no supervision. Handles a variety of situations requiring knowledge of the overall functions of the Department Chair's area of responsibility with tact and confidentiality. Assist the Department Chair in the tracking, monitoring, and maintaining the goals and responsibilities set forth in the agreement to be developed and executed between UCF COM and Nemours. Works collaboratively with cross-functional teams to ensure strategic initiatives and projects meet stakeholder requirements while identifying opportunities for process improvement, waste removal, and cost reduction. This individual proactively identifies problems, risks, barriers, and challenges, and clearly thinks through and communicates potential solutions for resolution. Requires insight and sophistication to manage multiple conflicting priorities and independently determine the best sequencing and cadence of activities.

Job Responsibilities:


  • Manages Department Chair's priorities in planning, communication and coordination of departmental activities.
  • Coordinates meetings including agendas requiring knowledge of the purpose of the meetings, organizational priorities, and confidentiality. Ensures that appropriate parties are included in the meetings. Ensures that attendees know of any pre-meeting work required. Compiles pre-meeting materials. Follows up as needed.
  • Prepares correspondence for the Department Chair's signature as well as for own activities representing the department for both internal distribution as well as to external vendors and other interested parties.
  • Takes initiative, and is self-directed, while thriving in a setting requiring collaboration and teamwork for maximal efficiency and effectiveness.
  • Demonstrates ability to effectively respond to time sensitive issues, meet deadlines, and manage shifting priorities, in a timely and thorough manner.
  • Prepares reports and presentations both for the Department Chair and others as well as for own activities. Frequently assigned tasks or projects requiring research, gathering data, and reporting on results.
  • Maintains records for budget and other activities such as purchase orders, accounts payable requests, travel records and confidential reports. Prepares expense reports for travel and meetings.
  • Arrange travel for Department Chair and others as needed.
  • May perform other functions to support the overall organization such as being responsible for policies and procedures, including writing, revising, communicating and maintaining records.
  • Uses the established escalation mechanisms to identify, document, and seek resolution on major problems and risks, along with a willingness to go above and beyond to resolve problems by encouraging ongoing identification of problems and facilitating problem solving methods using continuous improvement principles.
  • Create a dashboard that summarizes goal actuals and targets for all strategies outlined in the UCF COM & Nemours agreement. This will ensure all relative information is transmitted in a timely manner to all UCF-Nemours Faculty, UCF-Nemours Instructors and Department Staff.
  • Produce monthly reports summarizing the Department activities in the area of education and research, including awards and accomplishments of the Departmental faculty and staff.
  • Attend Governance meetings and take minutes. Provide a copy of the meeting minutes to UCFCOM for record keeping.
  • Integrate into a dashboard or create a tracking system to monitor promotion reviews and tenure requirements for Departmental faculty.
  • Help establish a system for annual performance reviews that includes written feedback regarding expectations/goals from the individual faculty development plan along with leveraging existing Nemours processes for conducting performance reviews for UCF-Nemours Faculty that includes their Nemours Department Chair and Division Chief.
  • Additional miscellaneous duties and responsibilities as assigned.
  • Other duties as assigned.


Job Requirements

  • High School Diploma required.
  • Minimum (3) three years of experience required (healthcare preferred).
  • Microsoft Suite experience (Word, Project, Excel, PowerPoint, Visio, OneNote) required.
