Job Description:

This role provides customer service to faculty, staff and students who visit or call Payroll and Employee Services (PES) for assistance.  Ideal candidates will enjoy serving the public, appreciate diversity and applying on the spot problem solving.  This critical role is often the first contact employees have with the university after they receive a job offer.  Professionalism, courtesy and organization are keys to success.  The Staff Assistant II provides assistance with the submission of the new employee packet and ensures all documents are completed and correct. PES has significant phone and walk-in traffic where careful listening skills are required to identify concerns and evaluate situations for proper referral or procedure.  The Staff Assistant II is required to remain at the front desk for most of the day with the exception of breaks, lunch and imaging responsibilities.  The Staff Assistant II assists with the compliance of records retention guidelines by scanning, quality controlling and indexing imaged payroll documents.  Time off must be scheduled in advance.

Required Education: GED/High School Grad OR an equivalent combination of education/job related experience, AND:


  • 6 - 12 months office/clerical experience.

Skills:



  • Basic computer skills

  • Ability to multi-task and problem solve

  • Performs oral or written tasks requiring knowledge of grammatical structure, vocabulary and formats.

  • Addition, subtraction, multiplication, and division using whole numbers, fractions, decimals, and/or percentages.

  • Proficient in Microsoft Word and Outlook.

  • The successful candidate is a personable and friendly person who enjoys meeting the public and providing excellent customer service.

  • Multi-line phone experience.

Certifications:


  • None.

Advertised Physical Requirements:


  • Must be able to engage in repetitive motions, speak, including expressing oneself or exchanging information with others; see, including color, depth perception and clarity, and hear including receiving detailed information orally.

Departmental Preferences:



  • Experience with Microsoft Office Suite.

  • Experience with complex filing systems.

  • Knowledge of basic HIPAA records handling standards.

  • 12 months experience as a receptionist.

  • Experience working in Payroll.

  • Experience in front line customer service.

  • Experience with I-9 form review.

  • Experience with PeopleSoft.

  • Experience with Laserfiche.

Supervision: No Supervisory Duties
