ACCOUNTING & ADMINISTRATIVE SPECIALIST at University of Oklahoma in Norman, Oklahoma

Job Description:

Financial Specialist: Manages accounts payable actions and reconciliations for all OGS (and OPIC) University, Grant, Regents and Foundation accounts: Prepares & submits direct bills, invoice payments & PO's (in the new version of PeopleSoft Financials), makes deposits, submits cost transfers, payroll expense transfers, EDR's, employee reimbursements and all related actions. Facilitates & prepares monthly reconciliations using the new OU PeopleSoft Financials System reports and keeps internal tracking in excel. Manages OGS's PCard internal processes and serves as the department reviewer & reconciler. Cross trained to facilitates financial task related to: Travel claims (in Concur), OPIC & and Pub Sales invoicing. This positions assists the OGS Financial and HR Administrator.

 

Office Administration: This position is responsible for submitting routine EPAF’s & ensuring that departmental personnel documents & files are current and in compliance; also runs payroll reports (payroll extract/actuals) to reconcile each pay period and facilitates various actions in People soft. This role manages OGS vehicles by tracking usage, mileage & maintenance; also aids in OGS room key assignment tracking and management. A main function of this role facilities various tasks in the new OU Market Place.  Responsibilities include ordering all supplies for the OGS (and OPIC) as well as ordering all OGS computers & equipment according to the OU standardization policy.  The position helps as a back-up to cover phone lines when needed.

 

**May be required to travel between the two OGS locations (Sarkeys & OPIC off campus in Norman) and as well to the central fleet office for vehicle management purposes. 

Required Education: GED/High School Grad or equivalent combination of education/job related experience,  AND:


  • 24 months Accounting/Bookkeeping experience

Skills:


  • Knowledge of standard bookkeeping and accounting procedures

  • Advanced excel skills with ability to build and manipulate spreadsheets with accuracy 

  • Should have the ability to prepare financial reports (detailed & summary versions) 

  • Ability to speak, read and write clear, concise English

  • Basic math skills

  • Proficient in Microsoft Office

  • Highly organized and able to handle multiple projects and deadlines

  • Able to communicate well and build rapport quickly with students, faculty and staff

  • Must have experience using PeopleSoft 

 Departmental Preferences:


  • Individuals with 36 months or more experience in bookkeeping or accounts payable 

  • Individuals with prior university experience managing university, foundation and grant accounts

  • Individuals with training and experience using  OU Market Place 

  • Individuals with experience using Laserfische

  • Individuals with training and some knowledge of Concur

Supervision: No Supervisory Duties
