In any given year, our organization either directly implements or provides administrative support for approximately 400 public health and social service initiatives across a broad spectrum of population health domains. Heluna Health invites applicants to apply for the position of Administrative Assistant, under the direction of the Director, Contracts and Grants Management. This individual will provide high-level administrative support and coordination, handling a wide range of administrative and executive support-related tasks. This person must possess the ability to interact with staff, clients, and vendors (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient. Must be able to provide excellent internal and external customer service.

The salary range is $21.81 - $25.20/hour commensurate with experience.

ESSENTIAL FUNCTIONS


  • Open, sort, and distribute incoming correspondence, including faxes and email.

  • File, Scan, and retrieve corporate documents, records, and reports.

  • Prepare responses to correspondence containing routine inquiries.

  • Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex meetings.

  • Compose correspondence/reports for signature.

  • Perform general office duties such as ordering supplies, maintaining records management systems, and ensuring all office supplies are replenished and maintained

  • Communicate and handle incoming/ outgoing electronic communications on behalf of the Contracts Department.

  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.

  • Drafts letters and documents, routes correspondence, develop and utilize filing

  • Assist Contract and Grant Managers with RFQ, RFP, and RFO preparation and post-award documentation to include document management.

  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

Education/Experience 


  • High School Graduate or General Education Degree (GED) Required

  • Associate degree (two-year college or technical school) Preferred.

  • Two plus years of experience in General Office duties

Must be proficient using MS Word, Excel, Outlook, Power Point etc.
