Job Summary:
Under the general direction of the Materials Management Operations Manager, the Inventory Controller/Coordinator maintains the Materials Management Stat Room, ensuring accurate inventory of approximately $500K and 1000 line items of emergent supplies. Will also focus on sourcing sourcing urgent items resulting from backorders, recalls, or allocation restrictions.
Qualifications
Essential Functions:
Stock and assess Stat Room and central equipment inventory levels using a min/max system.
Organize and maintain Stat Room, label inventory products.
Monitor expiration dates of sterile commodities, rotate stock, and visually check expiration dates.
Proactively plan and order "spare" products to have on hand for emergencies or disasters.
Provide feedback to Leadership Team on supply adjustments, removal/addition of supplies.
Conduct daily cycle counts on a minimum of 10 products, document counts, and maintain a log book.
Reconcile discrepancies, make inventory adjustments, report issues to Operations Manager.
Conduct yearly physical inventory.
Set up new product adds, conversions, and deletions in WorkDay as needed.
Perform inventory transactions in WorkDay, handle obsolete products, returns, or credits in a timely manner.
Ensure proper deduction of products through WorkDay.
Replenish Stat room using WorkDay auto-replenishment.
Interface with distributors regarding backorders, substitutes, and inventory information.
Lead efforts to resolve recall and backorder concerns
Create daily back-order and flash reports.
Assist customers with product availability, substitutes, and expedited shipments.
Online purchasing of special order products via EBuy.
Provide support to Materials Management staff regarding product location, delivery, and returns.
Escalate excessive supply requests to MM leadership team.
Follow Hospital, JCAHO, and DPH guidelines and procedures.
Responsible for the receipt and delivery of bulk medications.
Exercise appropriate body mechanics when moving a carts, boxes and other inventory materials.
Able to provide departmental coverage in multiple areas during emergent circumstances.
Perform other duties as assigned.
Qualifications:
Education/Experience
• High School Diploma/GED equivalent required
• 2 years of experience in shipping & receiving, internal distribution and inventory management preferred
Knowledge and Skills
• Proficient computer and data entry skills; MS Excel, Word, and Outlook.
• Excellent written and verbal communication skills
• Effective organizational skills
• Experience with inventory tracking/management and barcode technology.
• Process Improvement Skills
• Strong customer service and interpersonal skills.
• Ability to work proactively work independently in a fast-paced environment.
Physical Environment:
• Fast-paced and demanding environment handling incoming calls, assisting customers, providing support, and adapting to priority changes.
• May assist in other Materials Management operations, manual labor (lift/move up to 40 pounds)
• On feet most of 8-hour shift, exposure to outdoor weather, frequent visits to multiple external NWH buildings and docks as needed.
