Job Description:

As the Executive Assistant to the Chief Operating Officer (COO) and Chief Financial Officer (CFO), this role requires the ability to anticipate needs, with a consistent focus on forward-planning including the preparation of logistics, information, materials and people in advance of schedules. Candidates must have a proven track-record in supporting senior-level management in a fast-paced, dynamic environment. Success in this Executive Assistant role include exercising superior judgment based on in-depth experience, maximizing efficient use of time on behalf of the COO and CFO, exceptional time management skills, developing strong, collaborative relationships across multiple constituents to move things ahead, and acting as an extension of the COO and CFO in all communications.  


Functional Responsibilities:

  • Support the COO, CFO and their teams by managing all day-to-day matters including but not limited to preparing and coordinating communications, calendar management, meeting logistics for internal and external appointments and facilitating changes to daily events as necessary

  • Act as an extension of the COO, CFO and the Senior Management Team

  • Organize and maintain calendars, including scheduling large meetings with senior-level executives within QMA, PGIM and Prudential broadly

  • Organize and manage travel arrangements, coordinate itinerary details and expense reports and proactively mitigate unforeseen changes

  • Prepare and produce complex PowerPoint presentations and Word documents

  • Produce letters, memoranda, presentations, reports, and analysis

  • Professional representation and handling of all phone communications and in person guests

  • Email management including flagging important correspondence and identifying priorities requiring the use of judgment when responding to low risk items on behalf of COO  and CFO

  • Streamline and organize data and documentation with a keen eye for detail and maximizing efficiency

  • Be able to communicate across teams about priorities and business objectives

  • Participate in coordinating QMA employee and volunteer events as part of QMA’s administrative staff shared responsibility


  • Minimum of six years of experience as a Senior Administrative Assistant supporting senior-level management 

  • Advanced proficiency of PowerPoint and Word required

  • High level of integrity, discretion and judgment in handling highly sensitive, confidential information

  • Prior experience in the financial services industry required

  • Bachelor’s Degree strongly preferred

  • Proactive problem solver who thinks laterally to resolve situations and find the right answers

  • Ability to work independently but also partner as a team player

  • Flexibility to work overtime during peak periods
