Job Description:

Workplace Services and Administrative Assistant  

Cognizant is seeking an experienced Workplace Services and Administrative Assistant to support an office location in Earth City, MO. Incumbent would be responsible for reception services and the coordination of front office responsibilities for a high-volume, fast-paced facility with additional responsibilities of assisting with various projects.  Incumbent will be the Administration point of contact on administrative issues for our internal clients and will be interfacing with property management to address facility-related needs.  To be successful in this position, the incumbent needs to be punctual, have regular in-office attendance, and be available and visible to our clients.  This is not a telecommuting position.  

Essential Duties and Responsibilities include but are not limited to:  

  • Responsible for front desk area – answering phones, registering visitors, checking IDs, and guiding guests/clients.

  • Establishing and maintaining relationships with various internal working groups and departments. 

  • Handling all incoming requests by responding to clients, resolving issues, and ensuring successful completion.

  • Responsible for assisting with on-boarding process for new employees, such as creating access and security badges, and promoting a strong sense of security awareness throughout the facility.

  • Managing the access control card process for employees at site  as well as visitor cards – creation, deletion, maintaining records and ability to run reports

  • Partnering with internal business groups, external vendors and internal manager and team to facilitate all administrative needs within the facility.

  • Assist with the maintenance and alteration of office areas and equipment.

  • Managing and coordinating conference room usage along with equipment and catering needs.

  • Maintaining inventory of supplies to include ordering and stocking of supply closets.

  • Ordering and setting up pantry supplies for kitchenettes.

  • Sorting/bundling limited incoming mail and coordinating all incoming FedEx and UPS packages.

  • Handling confidential and non-routine information appropriately with direct manager.

  • Working as a productive team member with internal clients and across business units for any special projects that may arise.

  • Identifying and analyzing problems through to resolution and bringing them to the attention of management.  Implementing solutions in a timely manner. 

  • Providing continual evaluation of processes and procedures.  Implementing methods to improve area operations, efficiencies and service to internal clients.

Basic qualifications:

  • Two years of related Corporate Administrative experience.

  • High school diploma or GED.

Preferred qualifications:

  • Associates degree or equivalent.

  • Demonstrated experience handing multiple demands, setting priorities, and having a high level of attention to detail to complete high quality work in a timely manner.

  • Strong problem-solving skills in dealing with ambiguity in a fast-paced setting required.

  • Strong project management experience.

  • Security background/knowledge is helpful.  

  • Excellent verbal and written communication skills are required.  Must have a good command of the English language, oral and written.

  • Ability to influence, negotiate and partner with stakeholders.

  • High-level of interpersonal skills demonstrating poise, tact and diplomacy, often in fast-paced changing environment.

  • Analytical experience in gathering, evaluating and summarizing data and recommendations into reports.

  • Must be proficient in Microsoft Office, extensive Excel, SharePoint, accounting/purchasing platforms and web based applications.

Physical Demands:

While performing the duties of this job, the employee will be sitting at desk and will be frequently required to stand; walk prolonged distances; reach with hands and arms; balance; stoop, kneel and crouch.  The employee must have the ability to lift and/or move up to 50 pounds.
