Job Description:

City Experiences is seeking a Office Manager for our Pierce County Ferry operation in Steilacoom, WA.

This person will be adaptable, dynamic, and embody City Experiences’ RESPECT Service System.

About the Opportunity:

The Office Manager provides general administrative support, coordination and project specific assistance to the General Manager, employees, and client for the Pierce County, WA ferry operation.   Duties can include, but are not limited to, performing a variety of general office and administrative functions as assigned by the General Manager, Division Office, or Corporate office personnel.  The Office Manager directly supervises the Ticket Agents and Terminal Maintenance. 

Essential Duties & Responsibilities:


  • Safety First. Be an active advocate of, and participant in, the HMS Safety Culture.  Safety shall remain the highest priority at all times.

  • Consider reliability and efficiency with regard to Company operations.

  • Provide onsite ticket office management to include ticket agent staffing, scheduling, HR, ticket system training, ticket agent training, mentoring, counseling and discipline.

  • Take direction from and provide assistance to the bookkeeper regarding ticketing system policy/procedure and employee training responsibilities.

  • Coordinate and schedule meetings via MS Outlook and any other applicable site calendar(s)

  • Assist with administration of Human Resources related tasks as defined and distributed by Corporate Human Resources and/or the General Manager, including but not limited to: new employee orientations, communication of policies and processes, disciplinary action and termination paperwork processing, assist with insurance enrollments, submission of payroll information, and documentation to Corporate Payroll Administrator.

  • Assemble Employee Handbooks and Crew Training Binders as needed, as well as assist with and administer employee training as required and lead the input of information into the training database.

  • Manage site filing and organization to include: maintenance of Company files of all types, sort and distribute mail, maintain clean and efficient office operation, maintain office supplies (to include postage and shipping/mailings), answer phones, and handle day-to-day issues for site.

  • Present professional level of customer service and appearance to all clients, both internal and external; serves as Company contact, along with General Manager, to client and guests/passengers.

  • Must work well with employees at all levels of the organization.

  • Assist with development of routine correspondence and any other required documentation as requested by the General Manager, proofread, and edit materials as necessary.

  • Operate procurement system in accordance with policy and procedure; handle purchasing and vendor relations.

  • Create reports in various programs, primarily MS Excel, in order to maintain organization of office for both self and General Manager to include: tracking, site information maintenance and analysis, and ability to have reports/info on-hand if requested at a moment’s notice.

  • Additional job duties as assigned

Requirements & Qualifications:


  • HS Diploma

  • Bachelor’s Degree, from an Accredited Institution, preferred

  • Valid Driver’s License

  • Copy of DD214, if Veteran status

  • Demonstrated knowledge of general office etiquette and processes

  • Excellent written and verbal communication skills with employees at all levels of the organization

  • Must have outgoing personality and willing to train groups of employees, as well as serve as liaison with both vendors and the Company’s client

  • Must be organized and able to maintain an efficient office environment

  • Must be proactive – able to anticipate needs of General Manager, employees, HR, etc. and act accordingly

  • Must be willing to work in as well as adapt to an ever-changing work environment

  • Must have maintain a positive attitude

  • Must demonstrate high level of reliability, be able to prioritize multiple tasks and be attentive to detail

  • Advanced skills in Excel, Word, PowerPoint, Outlook

  • Minimum five (5) years’ experience in similar role; role within Maritime, Construction, or Maintenance industries preferred

  • Must be at least 18 years of age.
